We are currently recruiting a Snr HR Operations & Payroll Administrator to join our expanding team based in our office in Dun Laoghaire, Co Dublin. This role reports to the HR Director for UK & Ireland.

Overview of role         

The Snr HR Operations & Payroll administrator will work as part of the HR team in delivering our HR service to UK, Ireland, Malta & Gibraltar. The successful candidate will be involved in all aspects of the day to day HR function as outlined below. They are a key member of the team who will provide support to the employees and management team alike.  The successful candidate will be responsible for the HR & Payroll activities as outlined in this document and for driving the HR initiatives as outlined below.

Responsibilities are not limited to but will include:

  • HR Administration: Ensure that all records, both electronic and physical, are kept up-to-date & accurate; administer HR systems where applicable and liaise with internal teams for second level support when troubleshooting. Run reports proactively (e.g. On-site) and adhoc as requested to support the business and requests of HR Director.
  • General HR queries: Deal with the numerous HR queries that present each day to the best of knowledge – seek assistance as needed.
  • Payroll: Ensure that payrolls are co-ordinated and submitted for approval on time each month & to a high level of accuracy.  Liaise with payroll providers, pension providers & healthcare providers as necessary in relation to the inputs/outputs to payroll.
  • Benefits Programmes: Assist in administration of the Firm’s benefits programmes – Taxsaver, Bike to Work, pension.
  • Recruitment administration – Provide all administration support for recruitment; manage the online application process; assist in organising & attend the Recruitment Fairs and deal with all applicant queries. Assisting with high volume recruitment through generation of contracts, new starter packs and other relevant documentation
  • Induction: Co-ordinating & delivering induction, ensuring that the appropriate departments provide input as required
  • HR policies and procedures: Stay updated on the Firm’s HR policies so that can answer queries from staff & also make recommendations on improvements that can be made to same.
  • Starters/leavers process: Working with IT to ensure that this process is followed
  • Ensure work permits, where applicable are up to date and escalate any issues
  • Running weekly, monthly and ad hoc reports on HR KPIs
  • Responsible for preparing reports regarding attendance i.e. sick leave, headcounts, probation reviews etc. where applicable
  • Co-Ordination of Health and Safety
  • Co-Ordination of the Facilities queries within the Dun Laoghaire Building

Employee Engagement Initiatives

  • Involvement of  Employee Engagement Committee and support in running internal employee initiatives
  • Organisation of Staff Events i.e.; annual summer event
  • Running internal staff initiatives
  • Assist with Employee communications

HR Operations

  • Point of contact and administration for e-learning System
  • Creation and maintaining the employee files, both electronic and physical.
  • Maintaining an employee repository

Requirements:

  • 2-4 years in HR role or shared services Operational role.
  • HR or business qualification/CIPD qualification would be advantageous
  • Preivous experience in Shared Services
  • Member of the CIPD desirable
  • IPASS qualification would be desirable
  • Strong working knowledge of Microsoft office suite
  • Excellent Presentation Skills
  • Ability to work under pressure within a team environment
  • Exceptional Communication, Interpersonal and organisational skills
  • Strong time management skills and ability to meet deadlines
  • Excellent organisational, analytical and time management skills
  • Strong problem-solving skills
  • Excellent verbal and written English is essential.
